The Program Manager
– Remote Services involves:

Vacant Space Management Process and Delivery

  • Develop and execute a standardized and repeatable audit process to identify and realize the maximum cost reduction opportunities available after identified spaces are vacated.

    Audits and actions shall include:

    • Lighting systems
      – minimum required lighting to for safe maintenance tours
    • HVAC
      – deploy system setbacks commensurate with an occupied building, while maintaining temperature ranges which are appropriate for unoccupied areas while minimizing energy consumption
    • Maintenance
      – conduct periodic walkthroughs to ensure no system failures and adjust maintenance program for only reactive and necessary actions.
    • Ensure space is compliant with City Ordinances.

Small FM Project Management

  • Develop process for receiving client input for small (generally less than $25K) projects
    • Generally these projects do not require permitting, which is outside the scope of the JLL Contract
  • Provide cost and schedule estimates
  • Facilitate and coordinate work on premises
  • Ensure safety, code compliance and minimal disruption in executing work
  • Manage quality and security during work
  • Ensure punch lists and commissioning of new components take place
  • Deploy appropriate maintenance plan in Corrigo for new components, as required
  • Ensure client/requestor sign-off for completed work

Mobile Maintenance Services Liaison

  • Act as a primary point of contact for all Mobile Maintenance Work supporting WPP Portfolio
  • Be responsible for the following in executing Mobile Maintenance Services:
    • Scheduling Work
    • Emergency Response
    • Courteous Client Engagement
    • Follow up with Client
    • Engaging Engineering assistance where appropriate

Mobile Support Services for Unstaffed Sites

  • Ensure service needs are identified and are fully supported for remote facilities, including
    • Corrigo processes are fully functional and utilized
    • Financial standards are being adhered to for these locations and allocation distribution is appropriate
    • Sourcing is supporting remote locations for contract and supplies
      • JLL Marketplace full deployment at location
      • Competitive pricing is in place for Facilities Services supporting location
    • Resource identification and deployment processes are being followed such as the Staffing Smartsheet

Work Execution Standards

  • Develop and implement innovative programs and processes that reduce short
    – and long-term operating costs and increase productivity at remote locations
  • Ensure compliance with all health, safety, environment and risk management policies and procedures.
  • Support account wide initiatives such as compliance reviews, audits, training programs and other initiatives as appropriate, through driving implementation at a regional portfolio level.
  • Support initiatives such as benchmarking, best practices, and continuous improvement for remote portfolio
  • Support other account or JLL SMEs to bring value to the client and facilitate engagement.
  • Manage the delivery and revisions of remote site playbooks

Client Relationships

  • Proactively develop and manage client relationships, ensuring that expected service levels are achieved.
  • Comply with all requirements of the client contract and meet or exceed Key Performance Indicators.
  • Deliver an exceptional quality of service to the client, as reflected by client feedback.
  • Present Best Practices, Benchmarking and Innovative Ideas emerging industry trends and suggestions to improve GRE management processes
  • Represent WPP in the maintenance of good relationships with landlords, tenants, and subtenants at each leased Property
  • Verify that landlords of WPP-leased spaces provide the appropriate range and level of services as defined in lease documents.

    Serve as the primary support provider on all non-landlord related services (i.e., WPP obligations) within leased Properties.

  • The Service Provider shall manage service delivery to WPP standards and identify opportunities to improve quality, customer service and cost performance, and execute approved plans.
  • Collaborate and liaison with OpCo Management on the day to day activities

Support monthly reporting and presentations for senior management and OpCo Management (KPI’s.

Financial, Operational, etc.).

  • Ensure compliance with WPP security, IT, and safety policies and the provided WPP guidelines, policies, procedures, and training requirements (this applies to Service Provider Personnel, Subcontractor Personnel and Subcontractors
  • Act as an ambassador for JLL, adopting and maintaining the firm’s core values of Teamwork, Ethics and Excellence
  • Recognition that technical functions in some locations must be performed by union labor.
  • Create an employee and visitor experience that promotes WPP values to help attract and retain talent and clients
  • Conduct employeesatisfaction surveys, analyze results, recommend actions, and implement those approved by WPP

  • Bachelor’s degree or equivalent
  • Relevant designation LEED, CFM, FMA is preferred
  • 5+ years facility management or project management experience with demonstrated ability to exercise proper judgment
  • Proficiency in a range of information technology tools and platforms.
  • Strong interpersonal skills and problem-solving ability
  • Excellent verbal/written communication and presentation skills
  • Proven record of providing excellent internal and external customer service
