Patent Administrator

Ballard Spahr, LLP

This is a Full-time position in Atlanta, GA posted March 30, 2021.

Ballard Spahr, a multi-office national law firm is seeking a patent administrator to be an essential member of Ballard Spahr’s Intellectual Property team, responsible for administrative tasks and providing support to the patent prosecution practice in filing and maintenance of clients’ patent portfolio. This role will work with the nationwide patent team to support docketing, client reporting and filing with the USPTO. This position interacts with attorneys, paralegals and staff and can be located in the Atlanta, New York or Philadelphia office.

As the patent administrator, you will:

  • Conduct research and extract information using knowledge of USPTO databases.
  • E-file new patent applications and organize procedures for ongoing prosecution.
  • Process incoming US national phase filings and PCT applications.
  • Generate reports, track deadlines and make recommendations as needed.
  • Prepare assignments, powers of attorney and inventor declaration documents.
  • Create and file information disclosure statements and legal requirements and standards for same.
  • Manage special projects and learn new aspects of the practice.
  • Fulfills firm administrative responsibilities, including but not limited to timekeeping and billing requirements.

The selected candidate must be detail oriented, reliable and dependable team player, have excellent organizational skills, including the ability to perform well under pressure, manage priorities and meet deadlines, and excellent written and oral communication skills. Exceptional computer skills with the ability to learn new software applications quickly; computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook.

Bachelor’s Degree or equivalent experience and Paralegal certification and a minimum five (5) years of relevant work experience in Intellectual Property required. Extensive knowledge of U.S. patent rules and procedures and knowledge of PCT and/or national laws of other countries. The ability to work independently and take initiative to move projects to conclusion. Exercise discretion and maintain confidentiality of client information and deal calmly and effectively with high stress situations, including unfavorable situations and/or when constructive criticism is given.
